Best Project Management Software for Freelance Designers 2026

The best project management software for freelance designers depends on one thing: do you mostly need to track your own tasks, or do you need to run the whole client side too? I read the official pricing pages for four popular tools on November 3, 2026. Here is how I would choose. Quick answer Trello if you think in boards and want a simple free start. Asana if you juggle many deadlines and want list, board, and calendar views for free. Notion if you want tasks, briefs, and notes in one flexible workspace. HoneyBook if your real pain is proposals, contracts, and getting paid, not task lists. Many freelancers do well with one free task tool plus one client tool. You rarely need more. What freelance designers actually need from a project tool Most roundups list ten tools built for big teams. A solo designer has different problems. You are the designer, the account manager, and the bookkeeper. These are the criteria I used: Visual layout. Designers tend to like boa...

AI Automation for Small Business Cost in 2026

I have worked in IT for about twenty years, and the first question a small business owner asks about automation is always the same: what will it cost me per month? It is the wrong first question. The monthly fee for the tool is usually the smallest of three costs, and the other two are the ones that surprise people. This guide breaks the cost of AI automation into the parts you can actually check. It starts with the published prices of Zapier, n8n, Make and Microsoft Power Automate, then adds the AI model fee, the build cost and the upkeep.

Quick answer
  • Tool fee: small teams can start at $0 on Zapier Free (100 tasks a month), at about $9 to $29 a month on Make at 10,000 credits, or at 20 euros a month on n8n Starter. Prices were read on October 25, 2026 and billing terms differ.
  • AI model fee: usually tiny at small volume. By my arithmetic from Anthropic's published rates, 1,000 short emails a month cost about $0.20 on its cheapest model and about $4 on a mid-tier one.
  • The big costs are the build and the upkeep. Seller guides put a one-time build at $1,500 to $25,000, and a single freelancer workflow at $500 to $2,000. Those are sellers' ranges, not quotes.

How Much Does AI Automation Cost for a Small Business?

The answer has three lines, and you need all three to get a real number. First is the platform fee for the automation tool. Second is the AI model fee, which is billed per use and moves with your volume. Third is the people cost: someone has to build the workflow and someone has to fix it when a connected app changes.

One seller guide, Avelle (updated September 22, 2026), puts a one-time build at $1,500 to $25,000, monthly running costs at $200 to $2,500, and says annual maintenance is not optional. It also cites Gartner through other 2026 pricing guides to say software is only 20 to 35 percent of total implementation cost. I did not open the Gartner source, and Avelle sells managed automation at $500 to $2,500 a month, so treat the figures as a seller's view. A second seller, 2pizza.team (September 11, 2026), says most small businesses end up at $50 to $200 a month in running costs and splits builds into bands from $500 up to $25,000.

My take (20 years in IT): Read the gap between those two seller ranges carefully. One says $200 or more a month, the other says $50 to $200. The difference is mostly whether someone is paid to watch the workflow. If nobody is, your cost is lower and the risk is yours.

AI Automation Pricing by Platform in 2026

All prices below were read on each vendor's own pricing page on October 25, 2026. I read the pages from outside the US, so check the current amount for your region and billing term before you buy.

Zapier

Zapier lists Free at $0 a month with 100 tasks, Professional from $19.99 a month, Team from $69 a month with 25 users, and Enterprise on request. The page has a monthly and a yearly toggle ("Save 33%" for yearly), and I could not tell which one the screenshot shows, so the post does not claim either. Zapier says AI steps, code and its SDK now follow the same task-based pricing model, so heavier AI use counts against the same task limit.

Make

Make pricing page at 10,000 credits per month with Free, Core, Pro and Teams plans

Make showed Free at $0, Core at $9, Pro at $16 and Teams at $29 a month at 10,000 credits a month when I read it in a browser. I could not tell whether monthly or yearly billing was selected. Make blocked my automated fetch, so this is a browser read only.

Microsoft Power Automate

Microsoft Power Automate plans: free trial, Premium, Process and Hosted Process
Image: Microsoft (official page), screenshot October 25, 2026

Power Automate lists a free 30-day trial, Premium at $15 per user a month paid yearly, Process at $150 per bot a month and Hosted Process at $215 per bot a month. The page also carried a "not available in your market" notice when I viewed it from Korea. It prices per user and per bot instead of per task, which suits a business already on Microsoft 365 more than a business that just wants to connect a few apps.

My take (20 years in IT): The unit matters more than the headline price. Zapier counts tasks, Make counts credits, n8n counts workflow runs and Microsoft counts users and bots. Before you compare, write down how many times your workflow runs a month and how many steps each run has.

n8n Cost for a Small Business

n8n pricing page with Starter, Pro, Business and Enterprise plans
Image: n8n (official page), screenshot October 25, 2026

n8n charges by monthly workflow executions, not by steps. Its page lists Starter at 20 euros a month billed annually for 2,500 executions, Pro at 50 euros a month for 10,000, and Business at 667 euros a month for 40,000 (self-hosted only). It says "if it doesn't run, you don't pay," meaning you pay for workflows that run from start to finish. It also lists a Start-up plan with 50 percent off Business for companies under 20 employees, and a free Community Edition you can self-host from GitHub.

Who should pick n8n Cost-aware, technical

You want predictable pricing by execution and someone on your team is comfortable with a more technical tool. Skip it if nobody can maintain it, because self-hosting moves server upkeep to you. 2pizza.team estimates $30 to $50 a month in server cost for self-hosting, and that figure is a seller's estimate.

What Does the AI Model Itself Cost?

If your workflow calls an AI model to classify, summarize or draft, you pay per token on top of the platform fee. Anthropic's pricing page lists these rates per million tokens (MTok), read October 25, 2026: Haiku 5.5 at $0.10 input and $0.50 output for prompts up to 100,000 tokens, Sonnet 5.5 at $2 input and $10 output, and Opus 5.5 at $4 input and $20 output. Anthropic's main pricing page also says batch processing saves 50 percent.

A worked example, my own arithmetic: say a workflow reads 1,000 emails a month and each one uses about 1,000 input tokens and 200 output tokens. That is 1 million input tokens and 0.2 million output tokens a month. On Haiku 5.5 that is $0.10 plus $0.10, about $0.20. On Sonnet 5.5 it is $2 plus $2, about $4. On Opus 5.5 it is $4 plus $4, about $8. The token counts are my assumption, so measure your own. For comparison, 2pizza.team says typical small business AI usage runs $20 to $100 a month, which is a seller's range for larger or messier workloads. I did not read OpenAI's API pricing page, because it blocked my access, so this post gives no OpenAI figures.

How Much Does the Build Cost, and Who Does It?

2pizza.team also says an AI layer adds roughly 30 to 50 percent on top of an equivalent rules-only build, and Avelle says to keep a contingency of around 20 percent. Avelle claims paybacks of two to six months for well-scoped projects. That is a seller's claim and depends on how often the job runs and what each run is worth.

My take (20 years in IT): The cheapest expensive mistake is paying for AI where a plain rule would do. If a condition like "invoice over 5,000 goes to finance" handles the job, no model is needed. Spend your build budget on the one job that eats a person's hours every week, and leave the rest alone.

AI Automation Cost Calculator You Can Do in Five Minutes

Many people search for a calculator. You do not need a website for this. Use this formula, with your own numbers:

  1. Monthly running cost = platform fee + AI model fee + any monitoring you pay for.
  2. Year-one cost = build cost + 12 x monthly running cost + yearly upkeep.
  3. Monthly benefit = hours saved x your hourly cost of that time.
  4. Payback in months = build cost divided by (monthly benefit minus monthly running cost).

Illustration, built only from numbers above: a do-it-yourself workflow on Make at $9 to $16 a month plus the $0.20 to $4 model example is roughly $9 to $20 a month in running cost, and your own time is the build. A freelancer build at $500 to $2,000 with the same running cost is $608 to $2,240 in year one, before upkeep. A managed service at $500 to $2,500 a month is $6,000 to $30,000 a year. These are my sums from seller and vendor figures, not quotes.

AI Automation Cost on Reddit? How to Use Forum Advice

Google shows Reddit threads for this search. When you read forum advice on cost, look for answers that give the monthly run count, the number of steps and the tool, because "it cost me $20" means nothing without those. Check the numbers against the vendor pages above, which change often.

Final Recommendation

  • Just testing one idea: start on Zapier Free or a Make free plan and keep the AI step to a cheap model.
  • A few steady workflows: a paid Make or Zapier plan, and budget for a few hours of upkeep a quarter.
  • Cost-sensitive and technical: n8n Starter or Pro, or the Start-up plan if you qualify.
  • Already on Microsoft 365: check Power Automate pricing per user and per bot.
  • Nobody to build or maintain: get written quotes that state setup, monthly cost and what happens when an app changes.

Frequently Asked Questions

How much does AI automation cost for a small business?

The sources I read give wide ranges. Platform fees can start at $0, seller guides put a one-time build at $500 to $25,000 depending on scope, and running costs at $50 to $2,500 a month depending on who maintains it. Those are sellers' figures, so get your own quote.

How much do AI automations cost per month?

Tool fees on the pages I read ranged from $0 to about $70 a month for small plans, with Power Automate and n8n Business priced much higher. The AI model fee at small volume can be a few dollars, as in the example above.

How much does AI cost for businesses in general?

It depends on usage. Model pricing is per token, so cost follows volume, and platform pricing is per task, credit, execution or user. Count your runs before you compare.

Is n8n cheaper than Zapier?

Their units differ. n8n charges by workflow execution and offers a free self-hosted edition. Zapier charges by task. Which is cheaper depends on how many steps your workflows have and how often they run.

Is there a free AI automation option?

Zapier lists a Free plan with 100 tasks a month, Make lists a Free plan, and n8n offers a self-hosted Community Edition. Limits apply, so read each page.
