Cold Email Automation Tool for SaaS Companies, 5 Compared

The best cold email automation tool for SaaS companies depends on one question: do you already have a clean list of prospects? If you do, I would start with Instantly or Smartlead. If you don't, I would start with Apollo, because the data and the sending live in one account. Quick answer You have a list, one sender: Instantly or Smartlead. You need leads too: Apollo. A sales team shares the tool: lemlist Email, which lists unlimited users. You want LinkedIn and calls: lemlist Multichannel or Reply. Budget beyond the plan: mailboxes and domains cost extra, so add them before you compare. The real risk: your list and your domain, not the tool. Gmail's rules say not to mail people who never signed up. Cold email tools compared on price I read each official pricing page on November 3, 2026. These are the prices shown there on monthly billing. Yearly billing costs less on all five. I haven't used these tools, so this is a comparison of published plans, not...

Best Invoicing Software for Freelance Developers in 2026

The best invoicing software for freelance developers depends on how you bill, not on who has the longest feature list. I read the official pricing pages and help docs for seven tools on November 2, 2026. Then I sorted them by billing style. I have not used these tools myself, so this is a comparison of what the vendors publish.

Quick answer

  • Best overall: Invoice Ninja. It has a free plan with time tracking, an API on Pro, and a self-hosted path.
  • Best for hourly work: Harvest. You can start a timer from a GitHub issue or pull request.
  • Best free pick with an API: Zoho Invoice.
  • Best for scripted billing: Stripe Invoicing. There is no monthly fee, only a cut of each paid invoice.

How I picked for developers

Most roundups rank tools for all freelancers. Developers have a narrower list of needs, so I used these five tests:

  • Billing model: hourly, fixed-fee, retainer, or usage.
  • Time capture: does tracked time flow into the invoice?
  • Payment cost: what you lose on a large invoice, not just the monthly fee.
  • Control: an API, or the option to host it yourself.
  • The limit that bites: client caps, project caps, and usage charges.

The seven tools, by who they fit

Invoice Ninja: best overall

The free plan covers 5 clients with unlimited invoices. It also includes project time tracking, recurring invoices, and deposits. Deposits matter if you bill by milestone.

Pro costs $14 a month or $140 a year. It adds unlimited clients, API access, and auto late-payment reminders.

You can also self-host it. The license page says it uses the Elastic License 2.0 and is free if you use it to bill clients for services. Removing the branding costs $40 a year. You can't resell it as your own SaaS without a commercial license.

Skip it if you want a polished tool with zero setup and no plan limits to learn.

Harvest: best for hourly work

Harvest is a time tracker first. Its GitHub guide shows a browser extension that adds a Track time button to issues and pull requests. It remembers which project you used for each repo.

The free plan gives you 1 seat and 2 projects. That suits one or two long contracts. The feature table lists accounting and payment integrations on paid plans only, so check this before you promise clients a card option.

Watch out: Teams starts at $9 per seat billed annually, but Harvest says added invoices, projects, clients, and tasks are billed by use.

Zoho Invoice: best free pick with an API

Zoho calls this product forever free. It covers invoices, payment reminders, a customer portal, and logged hours you can bill to clients.

The API docs list 1,000 requests a day on the free plan, and 100 requests a minute per organization. That is plenty for a small billing script.

Watch out: Zoho says invoice counts are subject to usage limits that reset each year. Search results for its pricing page mention 500 invoices a year, but I could not confirm that number on the page. Check Settings, then Usage Stats, in your account.

Wave: best for a few fixed-fee invoices

Wave Starter costs $0 and gives you unlimited estimates, invoices, and bookkeeping records. Its pricing page lists no time tracking, so it fits fixed-fee work better than hourly work.

Pro costs $190 a year. It adds late-payment reminders and bank imports, and it drops the $0.60 card fee on your first 10 transactions each month.

Bonsai: best for contracts plus invoices

If you want proposals, contracts, and invoices in one place, Bonsai is built for that. Pay attention to the plan names, though. The $9 Basic plan lists time tracking and projects, but invoices and payments start at Essentials.

Essentials costs $19 a month billed annually, or $25 month to month. Bonsai offers a 7-day trial.

FreshBooks: best if you also want bookkeeping

FreshBooks combines invoices, expenses, tax-time reports, and time tracking on every plan. If you want one login for all of that, it is the most complete option here.

The page currently shows 80% off for 4 months, so judge it on the regular price. That is $23 for 5 clients, $43 for 50 clients, and $70 for unlimited clients. Retainers start on Plus.

Stripe Invoicing: best for scripted billing

Stripe has no fixed fee for Invoicing. It charges 0.4% per paid invoice on Starter, or 0.5% on Plus, which adds quotes. You can create invoices in the Dashboard or through the API.

It fits a developer who bills retainers or usage from code. It has no time tracker, so you need to bring your hours from somewhere else.

The hidden cost: payment fees on a large invoice

A $10 monthly fee is small next to the cut on one big project payment. Here is my own math for one $8,000 invoice, using published rates as of November 2, 2026.

Payment routeFee on $8,000
FreshBooks, standard card$232.30
FreshBooks, business card$280.30
FreshBooks, ACH$80.00
Wave Starter, card$232.60
Stripe Invoicing Starter, card$264.30
Stripe Invoicing Starter, ACH$37.00

The lesson is simple. For big invoices, steer clients to bank transfer. On this one invoice, ACH through Stripe costs about $227 less than a card.

Client companies often pay with business cards, and FreshBooks charges those at 3.5% + $0.30. International cards can add 1.5% more on both FreshBooks and Stripe.

How to choose in one minute

  • If you bill hourly and live in GitHub, choose Harvest.
  • If you have 5 clients or fewer, or want your own server, choose Invoice Ninja.
  • If you want a free tool you can script, choose Zoho Invoice.
  • If you bill from code, choose Stripe Invoicing.
  • If you send contracts with each project, choose Bonsai Essentials.
  • If you want your books and invoices together, choose FreshBooks.
  • If you send a few fixed-fee invoices, choose Wave Starter.

Common mistakes to avoid

  • Comparing promo prices. Compare the regular price you will pay in month five.
  • Ignoring client caps. A plan capped at 5 clients can be fine for years, or fail you in one busy quarter. Check how each tool counts them.
  • Leaving card as the only option. Add ACH to large invoices before you send them.
  • Adding a surcharge without checking. FreshBooks warns that passing fees to clients is against the law in some places.
  • Skipping the export test. Before you commit, export your data and check that you can use it elsewhere.
