Best Project Management Software for Freelance Designers 2026

The best project management software for freelance designers depends on one thing: do you mostly need to track your own tasks, or do you need to run the whole client side too? I read the official pricing pages for four popular tools on November 3, 2026. Here is how I would choose. Quick answer Trello if you think in boards and want a simple free start. Asana if you juggle many deadlines and want list, board, and calendar views for free. Notion if you want tasks, briefs, and notes in one flexible workspace. HoneyBook if your real pain is proposals, contracts, and getting paid, not task lists. Many freelancers do well with one free task tool plus one client tool. You rarely need more. What freelance designers actually need from a project tool Most roundups list ten tools built for big teams. A solo designer has different problems. You are the designer, the account manager, and the bookkeeper. These are the criteria I used: Visual layout. Designers tend to like boa...

Google AI for Small Business in 2026

Four Google AI pages for small business: Grow with Google AI training, Google AI Essentials, Gemini Notebook and Pomelli
Product pages: Google, Grow with Google and Google Labs (official pages, screenshots October 25, 2026)

If your small business already lives in Gmail, Docs and Calendar, the cheapest way into AI is often the Google account you already have. I have spent about twenty years in IT, and when a small shop owner asks me where to start with AI, I now ask one question first: which email system do you use? If the answer is Google, start with Google Workspace with Gemini, then add the free training Google offers. This guide follows what people search next on Google (free options, certification, free tools, marketing and plans) and sticks to what Google's own pages say, with dates.

Quick answer
  • Training: Google's AI training for small businesses includes a free video series, and a time-limited offer for eligible businesses (details below).
  • Course: Google AI Essentials is listed as five modules, under five hours, no experience required.
  • Tools: Gemini in Workspace for email and documents, Gemini Notebook for research on your own files, and Pomelli for marketing content.
  • Plans: Workspace Business editions are $7, $14 and $22 per user per month on the annual plan, according to Google's help page.

Google AI for Small Business Free: What Is Actually Free

"Free" covers three different things here, and mixing them up is how people end up with a surprise bill.

  • Free training. Google says its Make AI Work for You video series can be watched at no cost on YouTube, with 18 more videos in the playlist beyond the featured ones.
  • A limited free offer. Google's page says the Google AI Professional Certificate is free for eligible businesses, with three months of no-cost access to Google AI Pro and Google Workspace Business Standard. Google gives the value as $42 per employee ($14 per month per seat).
  • Free tools and trials. Some tools such as Gemini Notebook and Google AI Studio are linked from Google's small-business page. I did not read a price for them, so check each page.

The fine print matters. According to the terms on Google's page, you must enroll by December 15, 2026 and redeem by December 31, 2026, the offer is for verified small and medium business admins through Google's scholarship program on Coursera, and it is limited to one per admin. Google's FAQ on the same page adds that it is for new Google Workspace customers and capped at 300 seats. Google and Coursera can change or cancel the promotion at any time.

My take (20 years in IT): Free months are a trial, not a plan. Before you accept one, put the renewal date in your calendar and decide now who will cancel or approve the paid plan. I have seen small teams get billed simply because nobody owned the cancellation.

Google AI for Small Business Certification and Courses

Google AI Essentials page showing that 67 percent of workers who used generative AI estimated it saves them two or more hours per week

Google lists two certificate paths on its pages. Google AI Essentials is described as five modules that take under five hours, with no experience required and a certificate you can add to a resume. The modules named on the page are Introduction to AI, Maximize Productivity With AI Tools, Discover the Art of Prompting, Use AI Responsibly and Stay Ahead of the AI Curve. Google's page enrolls you through Coursera, and I did not see a price on Google's page, so check Coursera for current cost.

The 67 percent figure on that page, saying workers who used generative AI estimated it saves them two or more hours a week, is a survey cited by Google from the St. Louis Fed (November 2024 survey). Treat it as a self-reported estimate, not a guarantee for your shop.

For a business, Google points to the Google AI Professional Certificate, which it describes as seven courses and 20-plus interactive activities. There is also a shorter route: Google's learn AI skills page lists a 15-minute course on using Gemini in Google Workspace and a workshop for small business owners, each tagged "no charge".

Who should take the certificate Owners who want a structured start

If you will use AI every week and want a shared vocabulary for your team, the course is a reasonable fit. Skip it if you only need to learn two or three Gmail and Docs features. The video series and the in-app help are faster for that. I found no data on whether a certificate helps a small business win customers or hires, and Google's page does not claim it.

Free AI Tools for Small Business From Google

Google's small-business page names several tools. Here is what Google says about each, in its own words, shortened.

ToolWhat Google says it doesLink

Pomelli (Google Labs)Analyzes your business website to suggest tailored marketing campaigns and generates on-brand product images.Visit site

One caution on Gemini Notebook. Google's privacy page says it does not currently support ISO, SOC or FedRAMP compliance and is not covered by Google's Business Associate Agreement for HIPAA, and that it is not integrated with Workspace data loss prevention. If you handle regulated or very sensitive records, keep those files out of it for now.

Google AI Business Plan: Workspace Editions and Prices

The "Google AI business plan" most small businesses mean is a paid Google Workspace Business edition. Google's help page (read October 25, 2026) lists these prices per user per month:

EditionFlexible planAnnual or fixed-term planStorage per user (pooled)
Business Starter$8.40$730 GB
Business Standard$16.80$142 TB
Business Plus$26.40$225 TB

Google's page says Business editions are built for up to 300 users and can be used with your own domain, a business email address or a Gmail address. If you sign up with an email address, some features are unavailable until you verify your domain. The annual plan is billed annually or monthly depending on region and how you signed up, and Google's pricing-update page says that if you cancel an annual plan early you must pay the full commitment. The flexible plan can be cancelled at any time without a penalty.

My take (20 years in IT): For a team of three to ten people, I would start on the flexible plan for the first two or three months, because you can add and remove users freely. Once the team is stable, move to the annual plan for the lower per-seat price, and only then.

Which Gemini AI Features Come With Each Edition

This is the part most small businesses miss. Google's "AI features and pricing updates" help page shows that the AI features are split by edition. Here is a short summary of what I read there on October 25, 2026.

Google's page notes that usage limits "may change frequently", that some Gmail features are unavailable to email-verified accounts, and that custom editions may not include the generative AI features. Check the live page before you decide, because this table moves.

AI for Small Business Marketing With Google

Google's own examples for marketing center on three tools. Gemini in Google Vids turns notes and product images into promotional videos, according to Google's small-business pages. Docs and Slides can generate text and images inside the document. And Pomelli, a tool from Google Labs, suggests campaigns from your website. Google's small-business AI page, which I could read only in Korean, also says the AI features in Workspace can replace separate subscriptions for video, design and writing tools. That is Google's claim, so test it against what you pay for today.

Whatever you generate, a person should check it before it goes out. AI can state a wrong price, a wrong opening hour or a product feature you do not have. Read every claim, every number and every image before you publish.

Is Google AI Safe for Business Data?

For paid Workspace accounts, Google's privacy hub (last updated October 6, 2026) makes several commitments that matter to a small business:

  • Your interactions with Gemini stay within your organization, and Gemini does not share your content outside it without permission.
  • Your content is not human reviewed or otherwise used for generative AI model training outside your domain without permission.
  • Gemini only retrieves Workspace content that the user already has permission to open.
  • Retention: for Gemini in Workspace, prompts and responses are kept from 90 days to indefinitely as set by admins. For the Gemini app, admins choose 3, 18 or 36 months, and the default is 18 months.

Two limits to remember. The hub applies when you use Gemini with a qualifying Workspace edition, so it does not describe a free personal account, and I did not read the consumer Gemini terms for this guide. And Gemini Notebook and Gemini in Chrome are not covered by the same compliance statements, as noted above.

My take (20 years in IT): Turn on only what you need. Admins can switch the Gemini app, Gemini Notebook and Google Vids on or off per organization, according to Google's help page. For a five-person shop that is a ten-minute job, and it is the best privacy control you have.

Final Recommendation

  • Already on Gmail and Google Docs: try Workspace with Gemini on a monthly plan, starting with Business Standard if you need Docs and meeting notes.
  • Want to learn first: watch the free video series, then decide whether Google AI Essentials is worth your time.
  • Marketing on a budget: test Pomelli and Vids with public content only.
  • Research on your own files: use Gemini Notebook for non-regulated documents.

Frequently Asked Questions

Is Google AI free for small businesses?

Parts of it are. Google lists free training videos, and a time-limited offer for eligible businesses that includes three months of Google AI Pro and Workspace Business Standard. The Workspace Business editions themselves are paid plans, starting at $7 per user per month on the annual plan according to Google's help page.

Which Workspace plan do I need to use Gemini?

Google's help page lists Gemini features in all three Business editions, but Business Starter has fewer. Starter includes Gmail help and Google Vids, while Business Standard and Plus add Gemini in Docs, Sheets, Slides, Drive and Meet notes.

Does Google use my Workspace prompts to train its AI models?

Google's privacy hub says Workspace does not use customer data, including prompts, to train generative AI models without the customer's prior permission or instruction. Read the hub and your own agreement for the exact terms.

Is Gemini Notebook safe for regulated data?

Google's privacy hub says Gemini Notebook does not currently support ISO, SOC or FedRAMP compliance and is not covered by the Google Business Associate Agreement for HIPAA. Keep regulated records out of it unless Google says otherwise.

Do I need my own domain to sign up for Workspace?

No. Google's help page says Business editions can be used with your domain, with a business email address or with a Gmail address, but some features are unavailable if you sign up with an email address and do not verify a domain.
